How it works

Log, approve, export. Three steps a week.

  1. Step 01

    Log the day

People log time against a project or a work item, or run a timer. The active time the agent observed sits beside it, so a forgotten afternoon shows.

  2. Step 02

    Submit and approve

The person submits the period. A manager approves it, or rejects it with a reason and it comes back as a draft to correct.

  3. Step 03

    Lock and export

Approved periods are locked. An org admin exports locked time as a CSV or Excel file for payroll.

A day, explained

Four figures for every day.

Each timesheet day is built from the person’s work logs and the active time the agent observed on their devices. Here is Asha’s Wednesday from the week above.

Logged
6h 45m
The sum of the person’s work logs for the day.
Billable
5h 30m
The billable part, inherited from each project.
Observed active
7h 20m
Active time the agent recorded on the person’s devices that day.
Coverage
92%
Logged divided by observed. A help for the person filling in the day.

Coverage is not a target.

ClearHours has no coverage threshold and sends no alert about it. Meetings, reading and time away from the keyboard are work too, and people log them like anything else.

Time suggestions Pro plan

Suggestions only the employee sees.

Each night, ClearHours matches the day’s activity against rules your project leads write, and suggests entries to the person it is about. Nothing is logged until they accept.

Rules your leads write
Match an application or site, a title pattern or a work-item key in a window title, and map it to a project or a work item.
Short matches dropped
Anything under 10 minutes is never suggested.
Private to the person
Managers, project leads and admins cannot see who received, accepted or dismissed what.
Nothing automatic
The person accepts, edits or dismisses. Unanswered suggestions expire after 14 days.

Periods and approvals

Submit, approve, lock. Every step recorded.

Days roll up into periods. A period moves from draft to payroll file in five steps, and each change records who made it and when.

  1. Draft

The person logs time and can still change any line.

  2. Submitted

Lines are fixed. The managers of the person’s teams see the period.

  3. Approved

A manager approves it, or rejects it with a reason and it returns as a draft.

  4. Locked

No line can change. Unlocking needs an org admin and a reason, and is audited.

  5. Payroll file

Locked time leaves as a CSV or Excel file for your payroll system.

Opening a person’s timesheet is written to the audit log.

Illustration with sample data. A manager’s approvals for one week and a payroll export of locked periods.
In bulk or one by one
Approve or reject several periods in one action. A rejection always carries a reason.
Reopen before the lock
An approved period can be reopened if something was missed, as long as it is not locked.
Unlock with a reason
Corrections after payroll need an org admin, a reason and an entry in the audit log.
Every look is logged
Opening another person’s timesheet is written to the audit log, and the page says so.

Shifts

Shifts that are shown, never scored.

Give a person or a team a schedule. ClearHours shows late and early minutes to the person and their manager, and nothing scores them.

Schedules
Working windows for each weekday, split shifts and grace minutes, with a default for everyone else.
Adherence
Late and early minutes from clock-in and clock-out, or from first and last activity when a person does not clock.
No score
No adherence percentage per person, no threshold and no notification to anyone.

Payroll files

A payroll file, not a payroll engine.

Export approved time as CSV or Excel, in a generic layout or in layouts for Keka, greytHR, Zoho, Darwinbox, Tally and QuickBooks. ClearHours computes no pay.

Locked periods by default
So a file cannot change after you send it. You can include approved, unlocked time on purpose.
Time, not money
People, dates, minutes, billable flags, project and client codes. Columns can be renamed, reordered or dropped per export.

Check the layout before your first payroll run.

Each vendor layout is a documented default. Check it against your payroll system’s current import template, and import a small file into a test environment first.

What it is not

Clear about what it will not do.

Timesheets stay the person’s own record of their work. The product helps them fill it in and does not fill it in for them.

  • No automatic logging

Nothing is logged for anyone until they log it or accept a suggestion.

  • No coverage target

Coverage is a help for the person. There is no threshold and no alert.

  • No pay calculation

The payroll file carries time. Your payroll system works out pay.

Privacy note

Managers see the timesheets of people in their teams, and every look is written to the audit log. Suggestions stay with the person they are about. Before you switch timesheets or schedules on, add them to your employee notice.
